Job Description

General Administrative duties:

  • Great organization skills, attention to detail, interpersonal skills and phone skills are essential.
  • Competence in Microsoft Word and Excel are essential.
  • Clerical: filing, correspondence, and accounting.
  • Data entry and database management.
  • Other projects as assigned.

Specific Real Estate Responsibilities:

  • Receiving and distribution of daily Real Estate Department mail (rent statements, lease documents, landlord correspondence).
  • Reading and verifying monthly Landlord rent statements.
  • Verify data entered into databases is accurate with payment setup, key contract dates and clauses
  • Perform detailed audits of annual reconciliations in line with the Lease extract
  • Interact with Landlords regarding billing accuracy
  • Navigation of SAGE100 (accounting software) to verify and analyze rent payments.
  • Navigation of ImageNow (accounting software & document storage) to confirm payments.
  • Maintaining Landlord and Property Manager contact and billing details in databases such as ProLease
  • Reading Commercial Leases to identify key dates, rent amounts and verifying Tenant or Landlord responsibility for Taxes, Insurance, Maintenance and CAM.
  • Correspondence to landlords as required (new tenant letters, cover letters for lease documents).
  • Invoicing and Tracking of Sublease rent payments
  • Accurate record keeping, creating new and maintaining current lease files.
  • Monthly reporting
